  • ARE THERE ANY SPECIAL MEMBERS REMAINING ON THE BOARD WHO ARE NOT PROPERTY OWNERS; AND, IF SO, WHAT IS THEIR REMIT?
    No, there are no special members on the board who are not property owners. All members are residents of the Watercolour estate, with ownership of either a house or a flat. This structure ensures that every board member has a direct stake in the community and its well-being, and as a result, there are no non-property owners serving in any capacity on the board.
  • HOW CAN A RESIDENT CHECK IF A SUBMITTED REPAIR REQUEST IS BEING HANDLED DIRECTLY BY TRINITY ESTATES, OR INSTEAD FORWARDED TO THE BOARD FOR REVIEW AND DECISION, AND HOW CAN THEY FIND OUT WHAT OUTCOME IS CONCLUDED?
    Residents can check the status of their repair request through the comments section on Fixflo. As updates are made, Trinity Estates will post progress notes or any additional information about the request in this section. If the issue is forwarded to the board for further review or decision, residents will be kept informed about any actions taken via Trinity.

  • WHAT ARE THE AVAILABLE COMMUNICATION CHANNELS FOR SHAREHOLDERS TO CONTACT THE BOARD?
    The board should be contacted via Trinity Estates as the nominated agent.
  • WILL DIRECTORS NEED TO BE REAPPOINTED AFTER A SPECIFIC TERM, AND WHO IS RESPONSIBLE FOR MAKING THE REAPPOINTMENT DECISION?
    There is neither a minimum nor a maximum term for directors. Directors can serve for as long as they are elected by the residents and continue to fulfill their responsibilities effectively. The length of their service is determined by the needs of the board and the community, rather than being restricted by a set term limit. Directors may remain in position as long as they are willing to serve, subject to re-election or reappointment processes when required.
  • WHO ARE THE LANDSCAPERS APPOINTED ON WATERCOLOUR?
    The gardening and upkeep of the grounds are managed by MBS, who are responsible for maintaining the landscaping throughout the estate.
  • WHO IS RESPONSIBLE FOR THE NATURE AREAS ON WATERCOLOUR?
    The Watercolour Management Company is responsible for the upkeep of the canals, reedbeds and sandy paths, while Vistry manages the lakes.
  • WILL DIRECTORS RECIEVED REMUNERATION OR SUPERANNUATION, AND IF SO, HOW MUCH?
    No, directors do not receive any remuneration or superannuation. All directors serve on a voluntary basis, and their roles are undertaken without financial compensation. The focus of the board is on supporting and guiding the community, and as such, no payments are made for their time or services.
  • IS THERE A COMPANY SECRETARY, AND WILL OTHER NOMINEE DIRECTORS HOLD SPECIFIC POSITIONS ON THE BOARD?
    Trinity Estates serves as the Company Secretary. Currently, no directors hold specific roles or positions within the board.
  • WHY DO I PAY SERVICE CHARGE ON THE ESTATE?
    The service charge collected from residents and commercial tenants is mainly allocated to cover expenses such as gardening, cleaning, street lighting, and other service contracts, along with the fees paid to Trinity Estates, who oversee operations and manage the collection of the charge. These funds also support ongoing maintenance throughout Watercolour and help build a capital reserve to finance larger-scale maintenance projects in the future.
  • IS THERE A PROCESS FOR REMOVING A DIRECTOR FROM THE BOARD?
    Members have the right to call an Extraordinary General Meeting (EGM). In order to proceed with the vote, a minimum of 25 members must be present to ensure that a quorum is met. If the quorum requirement is not fulfilled, the meeting will be disbanded, and no decisions or votes can take place. If the quorum is reached, the meeting can proceed, and members can vote on the issue at hand.
  • WHO IS RESPONSIBLE FOR THE MAINTENANCE OF THE ROADWAYS & STREET LIGHTING?
    The primary roadways on the Estate are 'adopted' by Surrey County Council, while some smaller shared roads and access points are owned by the Watercolour Management Company. Surrey County Council is responsible for the street lighting on the main roads, whereas the Management Company handles the lighting for the private roads and green spaces it owns.
  • WHAT IS THE MINIMUM AND MAXIMUM NUMBER OF DIRECTORS THAT CAN BE APPOINTED AT ANY GIVEN TIME?
    The minimum number of directors is 2, and there is no maximum limit on the number of directors that can be appointed.
  • HAVE ALL PROPERTY OWNERS WHO APPLIED TO BECOME DIERCTORS OF THE COMPANY BEEN APPOINTED?
    Yes, all property owners who applied to become directors of the company have been appointed. The selection process ensures that those who express an interest in serving are given the opportunity to contribute, provided they meet the necessary criteria.
  • IS THERE A MAXIMUM TERM LIMIT FOR SERVING ON THE BOARD?
    No, there is no maximum term limit for serving on the board. Directors can remain in their positions for as long as they are elected by the residents, provided they continue to meet the requirements and expectations of their role. The focus is on ensuring that those serving are committed and capable, rather than limiting their tenure. However, directors can step down at any time if they choose to do so.
  • ARE ALL NOMINEE DIRECTORS DWELLING HOLDERS ON WATERCOLOUR?
    Yes, all nominee directors are dwelling holders on the WaterColour estate. Each director is a resident, either owning a house or flat within the estate, ensuring that those in positions of responsibility have a vested interest in the community. This structure allows the board to make decisions that are directly aligned with the best interests of the residents, fostering a sense of ownership and commitment to the estate’s wellbeing.
  • WHO IS RESPONSIBLE FOR APPOINTING DIRECTORS, AND DO MEMBERS HAVE THE OPPORTUNITY TO VOTE?
    The directors were nominated by fellow residents and elected through a vote on two separate occasions.
  • TO DATE, HAVE MEMBERS' MANAGEMENT FEES BEEN USED TO COVER ANY LATE FILINGS WITH COMPANIES HOUSE, AND IF SO, WHAT WAS THE COST?
    No, members' management fees have not been used to cover any late account filings with Companies House. All filings have been made on time, and the management fees are strictly allocated to the services and maintenance required for the estate. We ensure compliance with all necessary regulations and deadlines, including timely submissions to Companies House.
  • DOES VISTRY LINDEN LIMITED OR TRINITY ESTATES HAVE ANY REMIT IN BOARD MEETINGS AND VOTING?
    No, voting is reserved solely for the Directors and Members.
